This product-specific notice supplements Alcoden's general Privacy Policy and Terms of Use. Where this notice addresses an AI Desk-specific practice, it governs that practice.
Scope
This notice applies to Alcoden AI Desk accounts and AI Desk product activity. Alcoden's general Privacy Policy continues to apply to public website use and other activities not specifically addressed here.
Information associated with an AI Desk account
AI Desk may process business contact and account information such as name, business email, organization, role, client/account identifiers, account status, and support history. AI Desk may also process identifiers needed to bind authorized Builds and connected accounts to the correct client.
Durable work records
AI Desk preserves the structured operating record behind authorized work, which may include Builds, Jobs, Work Orders, Nodes, checkpoints, accepted versions, evidence/provenance, authority state, completion state, and other records needed to make work resumable and auditable.
Exhausting the one-time no-card ADU trial without billing authority pauses new metered activity. It does not by itself delete or reset the client's existing durable work.
ADU usage and diagnostics
AI Desk records metering information needed to apply the published usage schedule, including account, usage period, action type, ADU quantity, timestamps, idempotency/transaction references, object references where applicable, and whether an event was accepted, denied, or zero-ADU. Security and diagnostic events may also be processed to prevent duplicate charging, investigate failures, and protect service integrity.
Connected services
AI Desk may operate in connection with authorized AI workspaces or other tools selected by the client. AI Desk is designed to use only the access and information needed for the authorized work. It does not require blanket access to an entire conversation history or the disclosure of connector credentials to the public website.
Third-party platforms remain governed by their own terms and privacy practices.
Billing information
AI Desk may store billing-customer references, payment-status information, invoice/charge records, and related provider references. Payment-card details should be handled by the approved payment provider rather than stored in ordinary AI Desk application records.
How information is used
- Operate, preserve, secure, and resume authorized AI Desk work.
- Authenticate accounts and enforce Build/work authority.
- Measure ADU usage and calculate charges under the published pricing schedule.
- Provide billing, support, notices, and account administration.
- Detect fraud, misuse, duplicate requests, and security events.
- Maintain audit, compliance, and business records.
Retention and account holds
AI Desk records are retained according to their purpose, client relationship, contract, security needs, legal obligations, and Alcoden's applicable retention practices. A TRIAL_LIMIT_HOLD or payment-related hold is an access/usage state, not a deletion instruction. Account closure and deletion requests are handled separately and may be subject to lawful retention requirements.
Account identity and trial eligibility
AI Desk may use verified Alcoden account relationships, verified email history, product/account references, organization relationships, and billing-customer references where available to determine whether an attempted registration belongs to an existing client or account. Similar names, domains, devices, or network addresses are not treated as conclusive identity proof by themselves.
If AI Desk indicates that an account may already exist, a trial may already have been used, or an identity cannot be resolved, the registration experience will provide a Contact Alcoden / Request Identity Review option so the person can request human review without being forced through a repeated automated verification loop.
Your choices and requests
Depending on applicable law, you may have rights to access, correct, delete, restrict, object to, or obtain qualifying personal information. Submit privacy requests to aigov@alcoden-os.com with the subject “AI Desk Privacy Request.”
Changes and contact
Alcoden may update this AI Desk notice as the product, providers, metering, or legal requirements change. Material changes will be handled through an appropriate notice process. Questions may be sent to aigov@alcoden-os.com.
